Privacy & Data Protection

Privacy Policy

MonaCloud respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains how we collect, use, disclose, store, and protect information when you visit our website, purchase VPS hosting, manage your account, or contact our support team.

1. Scope of This Privacy Policy

This Privacy Policy applies to personal information processed by MonaCloud in connection with our website, VPS hosting products, account management, billing, customer support, and related services.

It should be read together with our Terms of Service, Refund Policy, and Acceptable Use Policy. Those documents explain the terms governing your use of MonaCloud services.

This policy does not automatically govern websites, applications, databases, or other content hosted by our customers on their virtual private servers. Customers are generally responsible for determining how they collect and process personal information through their own hosted services.

2. Information We Collect

The information we collect depends on how you interact with MonaCloud and which services you use.

2.1 Information You Provide

When you create an account, place an order, request support, or communicate with us, we may collect information such as:

  • Name and contact details, including email address and telephone number.
  • Account credentials and account preferences.
  • Billing details, transaction references, order history, and subscription information.
  • Support requests, messages, feedback, and information you choose to provide.
  • Information reasonably necessary to verify an order, prevent abuse, or protect an account.

Please do not send passwords, private cryptographic keys, payment card security codes, or other highly sensitive information through ordinary support messages.

2.2 Transaction and Payment Information

When you purchase VPS hosting or another service, we may receive payment status, transaction identifiers, billing records, and limited payment-related information from the payment provider. The exact information depends on the payment method and provider.

Payment card details and other sensitive financial information may be processed directly by the relevant payment provider. We do not claim to store full payment card details unless our actual payment infrastructure and applicable disclosures specifically provide for it.

2.3 Technical and Usage Information

When you access our website or account portal, technical information may be recorded automatically, including:

  • IP address and approximate location derived from it.
  • Browser type, device type, operating system, and language settings.
  • Pages visited, referral information, timestamps, and interaction data.
  • Website, authentication, security, and diagnostic logs.
  • Information about service requests and errors needed for troubleshooting.

We use this information where necessary to operate the website, maintain security, diagnose problems, understand service usage, and improve the customer experience.

2.4 Information from Service Providers

We may receive relevant information from payment processors, hosting infrastructure providers, fraud-prevention services, analytics tools, or other providers that support our operations. We use such information in accordance with this policy and applicable law.

3. How We Use Your Information

MonaCloud may process personal information for the following purposes:

  • Service delivery: Create and manage accounts, process orders, provision VPS hosting, and provide access to purchased services.
  • Billing and administration: Process payments, maintain invoices and transaction records, and manage renewals or cancellations.
  • Customer support: Respond to questions, investigate technical issues, and communicate about service requests.
  • Security and abuse prevention: Detect suspicious activity, investigate misuse, protect infrastructure, and enforce our service policies.
  • Service improvement: Diagnose errors, monitor operational performance, and improve website usability and reliability.
  • Legal compliance: Meet applicable legal obligations and respond to valid legal requests where required.
  • Business communications: Send service notices, billing notifications, security alerts, and important policy updates.
  • Marketing: Send promotional communications where permitted by law and, where required, with your consent. You can opt out of marketing messages.

Depending on applicable privacy law, our legal basis for processing may include fulfilling a contract, complying with a legal obligation, pursuing legitimate interests, or obtaining your consent where required.

4. Payments, Billing, and Account Records

MonaCloud may use third-party payment providers to facilitate transactions. When you make a payment, the provider's own privacy policy and terms may apply to its processing of your information.

We may retain order records, invoice details, payment status, and related communications to administer your account, resolve disputes, prevent fraud, and meet applicable accounting or legal requirements.

Payment approval, verification, and settlement may be subject to the payment provider's processes. MonaCloud does not control every aspect of a third-party provider's systems or privacy practices.

For information about cancellations, eligibility for refunds, and related billing conditions, please review our Refund Policy and Terms of Service.

5. VPS Hosting, Technical Data, and Server Content

Providing virtual private server hosting may involve processing technical information needed to provision, secure, maintain, and troubleshoot infrastructure. This can include server identifiers, resource usage metrics, network information, system events, and security logs, depending on the service and infrastructure configuration.

5.1 Customer-Controlled Server Content

Customers generally control the operating systems, applications, databases, files, websites, and other content installed or stored on their VPS. Customers are responsible for configuring their servers appropriately and complying with applicable privacy and data protection laws when processing information through their hosted applications.

5.2 Operational Access

Access to server-related information may be necessary in limited circumstances to deliver support, investigate security incidents, respond to abuse reports, maintain infrastructure, or comply with legal obligations. Any such access should be limited to what is reasonably necessary for the relevant purpose and subject to applicable law and operational procedures.

5.3 Backups and Customer Responsibilities

Backup availability, retention, and restoration depend on the specific service and any backup option expressly included or purchased. Unless a backup service is explicitly offered and confirmed, you should not assume that your VPS data is automatically backed up or recoverable.

Customers should maintain independent backups of important files, databases, configurations, and other content. See our Terms of Service for additional information about data, backups, and service termination.

6. Cookies and Similar Technologies

MonaCloud may use cookies and similar technologies to support website functionality, maintain sessions, remember preferences, improve security, and understand website performance.

6.1 Types of Cookies

  • Essential cookies: Help provide core website functions, account access, security, and session management.
  • Preference cookies: Remember settings or preferences where these features are available.
  • Analytics cookies: Help us understand website traffic and usage patterns if analytics tools are enabled.
  • Marketing cookies: May be used for advertising measurement or personalization if such tools are implemented and permitted by law.

Not all cookie categories are necessarily used on every MonaCloud page. The technologies in use depend on the website configuration and enabled third-party services.

You can manage cookies through your browser settings. Blocking certain cookies may affect website functionality. Where required by law, we will request consent before using non-essential cookies or similar technologies.

7. How We Share Information

MonaCloud does not sell personal information to third parties as a business model. We may disclose information in the following circumstances, where appropriate and permitted by applicable law:

  • Service providers: Infrastructure, data center, network, payment processing, customer support, email delivery, analytics, and security providers that help us operate our services.
  • Legal and regulatory requests: Authorities, courts, or other parties when disclosure is required by applicable law or a valid legal process.
  • Security and abuse investigations: Relevant parties when reasonably necessary to investigate fraud, security incidents, violations of our policies, or threats to people or infrastructure.
  • Business transfers: A prospective or actual buyer, successor, or related entity in connection with a merger, restructuring, financing, or sale of business assets, subject to applicable protections.
  • With your direction or consent: Other recipients where you request or authorize the disclosure, or where disclosure is otherwise permitted by law.

Service providers may process information on our behalf or independently for purposes described in their own policies. Where appropriate, we take reasonable steps to use providers with suitable confidentiality and security practices.

8. Data Retention

We retain personal information for as long as reasonably necessary to provide services, manage customer accounts, maintain business and financial records, resolve disputes, protect our systems, and meet legal obligations.

Retention periods vary according to the type of information, the purpose for which it was collected, contractual requirements, applicable law, and operational needs.

When information is no longer required, we may delete it, anonymize it, or securely dispose of it, subject to applicable retention obligations, legitimate dispute requirements, and technical limitations such as backup cycles.

After a VPS service is cancelled or terminated, server data may be removed in accordance with the relevant service configuration and our operational procedures. Customers should retrieve their data before service termination and maintain independent backups.

9. Data Security

MonaCloud takes reasonable technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, loss, and misuse.

Depending on the systems involved, safeguards may include access controls, authentication measures, security monitoring, restricted administrative access, and operational procedures intended to protect information.

No website, network, hosting environment, or electronic storage system can be guaranteed to be completely secure. We therefore cannot promise absolute security or uninterrupted protection against every possible threat.

You are responsible for using strong passwords, protecting account credentials, securing your VPS and applications, applying appropriate updates, and restricting access to authorized users. Please contact us promptly if you suspect unauthorized access to your MonaCloud account.

10. Your Privacy Rights and Choices

Depending on your location and applicable privacy laws, you may have rights regarding your personal information. These rights may include:

  • Requesting access to personal information we hold about you.
  • Requesting correction of inaccurate or incomplete information.
  • Requesting deletion of certain personal information, subject to legal and contractual exceptions.
  • Objecting to or requesting restriction of certain processing activities.
  • Requesting a copy of certain information in a portable format where applicable.
  • Withdrawing consent where processing is based on consent, without affecting the lawfulness of prior processing.
  • Opting out of promotional communications.
  • Submitting a complaint to a competent data protection authority where applicable.

These rights are not absolute and may be subject to verification, legal requirements, exemptions, and other limitations. We may need to verify your identity before responding to a request to protect your information and account.

To submit a privacy request, contact us using the details in the Contact Us section. We will review and respond to requests within the time required by applicable law.

10.1 Marketing Preferences

You may opt out of promotional emails by using an unsubscribe link where available or by contacting us. Even if you opt out of marketing, we may still send essential service, security, account, billing, or legal notices.

11. International Data Transfers

MonaCloud serves customers in an international market, and service infrastructure or service providers may operate in different countries. Depending on the services used and the location of the relevant systems, personal information may be processed or accessed across national borders.

Our VPS hosting offerings may include data center locations in Singapore, India, and Hong Kong, subject to the availability and configuration of the product purchased. The location of a VPS does not necessarily determine the location of every system or provider involved in processing account, billing, or support information.

Where applicable law requires safeguards for international transfers, we will take steps required by that law. If you have questions about the handling of your information in connection with a specific service, please contact us.

12. Third-Party Websites and Services

Our website may contain links to third-party websites, payment services, documentation, or other external resources. These services are operated independently and may have their own privacy policies, security practices, and terms.

MonaCloud is not responsible for the privacy practices of third-party websites that we do not operate. We encourage you to review the relevant privacy policy before submitting personal information to any third-party service.

13. Children's Privacy

MonaCloud services are intended for users who are legally able to enter into the applicable service agreement under the laws that apply to them. Our services are not directed at children where the collection of their personal information would be prohibited by applicable law.

We do not knowingly collect personal information from children in circumstances where such collection is unlawful. If you believe a child has provided personal information to us in violation of applicable law, please contact us so that we can review the matter and take appropriate action.

14. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to our services, operational practices, technology, or legal requirements. When we make changes, we will update the date shown at the top of this page.

Where required by applicable law, we will provide additional notice or obtain consent for material changes. We encourage you to review this page periodically to stay informed about how MonaCloud handles personal information.
